Solution

This section describes the operation to send a fax with the Numeric buttons and to register the recipient's numbers to the one-touch speed dial and send a fax.

Sending a Fax with the Numeric Buttons

Important

If you enter or register an incorrect fax/telephone number with the Numeric buttons, the fax will be sent to an unexpected recipient. When sending an important fax, we recommend sending the fax after confirming the recipient's condition.

You need to prepare:

  1. Prepare for sending a fax.

    (1) Make sure that the power is turned on.
(2) Load the original in the ADF or on the Platen Glass.
Important
When sending a double-sided document, load the document on the Platen Glass. You cannot scan double-sided documents in the ADF.

(3) Press the FAX button.
The fax standby screen will appear.
  1. Adjust the scan resolution and contrast as necessary.

    (1) Use the Up or Down button (A) to select the scan resolution.
    Standard: Suitable for text-only documents.
    Fine: Suitable for fine-print documents.
    Extra fine: Suitable for detailed illustration or fine-print quality documents.
    If the recipient's fax machine is not compatible with Extra fine (300x300dpi), the fax will be sent in the Standard or Fine resolution.
    Photo: Suitable for photographs.
Note
The color fax is sent with the resolution for Photo.
(2) Use the Left or Right button (B) to select the scan contrast.
The Left button decreases the scan contrast, and the Right button increases the scan contrast.

  1. Send the fax.

    (1) Use the Numeric buttons to dial the recipient's fax/telephone number.

    In the fax/telephone number entry field, the following operations are available.

    - Press a Numeric button to enter that number.
    - Press the Right button to enter a space.
    - Press the Left button to delete the last number you entered.
    - Press the # button to enter "#", and the Tone button to enter "Asterisk".
    - Press the Redial /Pause button to enter a pause "P".

    (2) Press the Color button for color sending, or the Black button for black & white sending.
    The machine starts scanning the original.
Important
Color sending requires that the recipient's fax machine supports color faxing. If the recipient's fax machine does not support color faxing, you can set the machine to send a fax in black-and-white.

Do not open the Document Cover until scanning is completed.
(3) Start sending.

When the document was loaded in the ADF
The machine scans the document automatically and starts sending the fax.
Note
To cancel sending the fax, press the Stop button, and follow the message on the LCD.
If documents remain in the ADF after pressing the Stop button, follow the message and press the OK button. The remaining documents are automatically fed out.
When the original was loaded on the Platen Glass

The message will appear after scanning the original.

To send the scanned page, press the OK button to start sending it.
Note
To send two or more pages, follow the message to load the next page, and press the Color or Black button. After scanning all pages, press the OK button to start sending.
To cancel sending the fax, press the Stop button.
Note
When your machine is connected to a PBX (Private Branch Exchange) system, refer to the operating instructions of the system for details on dialing the recipient's fax/telephone number.
Automatic redialing
When the recipient's line is busy, the machine will redial the number after a specified interval.

Redialing the Number Dialed with the Numeric Buttons

  1. Prepare for sending a fax.

    (1) Make sure that the power is turned on.
(2) Load the original in the ADF or on the Platen Glass.

(3) Press the FAX button.
The fax standby screen will appear.
  1. Adjust the scan resolution and contrast as necessary.
  1. Select the recipient to redial.

    (1) Press the Redial/Pause button.
The fax/telephone numbers dialed with the Numeric buttons will appear.
Note
The redial list shows 10 fax/telephone numbers from the latest one.
(2) Use the Up or Down button (Scroll Wheel) to select the fax/telephone number to redial.

(3) Press the OK button.

The selected number will appear on the fax sending screen.

  1. Send the fax.

    (1) Press the Color button for color sending, or the Black button for black & white sending.

    The subsequent procedure varies depending on whether to load the original in the ADF or on the Platen Glass.
    For details, see (3) of step 3 in Sending a Fax with the Numeric Buttons.

Sending a Fax with One-Touch Speed Dial

You can easily send a fax if you register frequently used fax/telephone numbers to the One-Touch Speed Dial buttons (01, 02, 03) on the Operation Panel.

Registering Recipient's Numbers to One-Touch Speed Dial

Note
One-touch speed dials can be registered and edited on a computer using Speed Dial Utility supplied with the machine.

  1. Display the One-touch speed dial screen.

    (1) Press the FAX button, and press the left Function button to select FAX menu.
The FAX menu screen will appear.

(2) Select TEL number registration , and press the OK button.

(3) Select One-touch speed dial, and press the OK button.
  1. Register a number to the one-touch speed dial.

    (1) Select a one-touch speed dial number (01 to 03) to register, and press the OK button.
    The one-touch speed dial registration screen will appear.

Note
Select an unoccupied number (A) to register a new number.
A message asking whether to edit or delete the registered information will appear if an occupied number (B) is selected.
(2) Use the Numeric buttons to enter the recipient's name (max.16 characters, including spaces).
(3) Press the OK or Down button.


(4) Use the Numeric buttons to enter the recipient's fax/telephone number (max.60 digits (40 digits for US, Canada, and Korea), including spaces).

(5) Press the OK button.
The number will be registered to the One-Touch Speed Dial button.

(6) Press the FAX button to return to the fax standby screen.

Sending a Fax with One-Touch Speed Dial

  1. Prepare for sending a fax.

    (1) Make sure that the power is turned on.
(2) Load the original in the ADF or on the Platen Glass.

(3) Press the FAX button.
The fax standby screen will appear.
  1. Adjust the scan resolution and contrast as necessary.

  1. Press the One-Touch Speed Dial button to which the recipient is registered.

    The fax/telephone number registered to the One-Touch Speed Dial button will appear on the screen.
Note
Pressing the One-Touch Speed Dial button here sets the first recipient. If necessary, you can next specify other recipients of the same fax (sequential broadcasting).

  1. Send the fax.
    (1) Press the Color button for color sending, or the Black button for black & white sending.
    The subsequent procedure varies depending on whether the original is loaded in the ADF or on the Platen Glass.

Sending the Same Document to Several Recipients (Sequential Broadcasting)

This machine allows you to prepare for sending the same document to multiple recipients (max. 104 recipients for MX870 series, 21 for MX350 series) in one operation. You can dial the recipients' numbers using either of the following dialing methods.

  • One-touch speed dialing (MX870 series):

    Up to 3 destinations

  • Coded speed dialing:

    Up to 100 destinations for MX870 series, 20 destinations for MX350 series

  • Regular dialing (using the Numeric buttons) or redialing:

    One destination

    You can enter the destinations in any order, but be sure to press the OK button after your entry with the Numeric buttons.

Note
  • If you frequently send documents to the same group of recipients, you can group these numbers for group dialing. This will allow you to send documents to all the recipients in the group by simply pressing one or a few buttons.

Important
  • It may be possible that faxes will reach unintended recipients due to the misdialing or incorrect registration of fax/telephone numbers. When you send important documents, it is recommended that you send them after speaking on the telephone. For details, see Sending a Fax after Speaking on Telephone.

  1. Enter the recipients' numbers one by one.

    • When using one-touch speed dialing (MX870 series):

      Press the One-Touch Speed Dial button (01 to 03) assigned to the number you want to dial.

    • When using coded speed dialing:

      After pressing the Coded Dial button, use the Numeric buttons or the UPDOWNLEFTRIGHT button to enter the two-digit code assigned to the number you want to dial, then press the OK button.

    • When using regular dialing:

      Use the Numeric buttons to enter the recipient's number, then press the OK button.

      If Fax number re-entry is set to ON, see Sending Faxes after Dialing Twice (Fax Number Re-entry).

    • When using redialing:

      Press the Redial/Pause button, use the UPDOWN button to select the number you want to dial, then press the OK button.

      Manual Redialing

      Note
      • To review the numbers you have entered, use the UPDOWN button.

      • Pressing the Back button allows you to delete the recipient's number you entered last.

  2. Press the Color button for color transmission, or the Black button for black & white transmission.

    Important

    • Color transmission is available only when the recipient's fax machine supports color faxing.

Note
  • To cancel sequential broadcasting, press the Stop button. To cancel a fax transmission while it is in progress, press the Stop button, then follow the instructions on the LCD.

  • If documents remain in the ADF after the Stop button is pressed while scanning is in progress, Document in ADF. Press OK to eject document. is displayed on the LCD. Press the OK button and follow the instructions on the LCD to automatically feed out the remaining documents.

  • When you press the Stop button, fax transmission to all the recipients will be canceled. You cannot cancel a fax transmission to only one recipient.

Manual Redialing

Follow the procedure below for manual redialing.

  1. Press the Redial/Pause button.

  2. Use the UPDOWN button to select the recipient's number to redial, then press the OK button.

  3. Press the Color button for color transmission, or the Black button for black & white transmission.

    Important
    • Color transmission is available only when the recipient's fax machine supports color faxing.

Note
  • For manual redialing, the machine memorizes up to 10 recent recipients dialed using the Numeric buttons. Note that the machine does not memorize any recipients dialed using the One-Touch Speed Dial (MX870 series), Coded Dial, or Redial/Pause button.

  • To cancel manual redialing, press the Stop button.

Sending a Fax after Speaking on Telephone

If you want to speak to the recipient before sending a fax, or if the recipient does not have a fax machine that can receive faxes automatically, send a fax manually after speaking to the recipient on the telephone.

Important
  • It may be possible that faxes will reach unintended recipients due to the misdialing or incorrect registration of fax/telephone numbers. When you send important documents, it is recommended that you send them after speaking on the telephone. See below for the procedure.

  • With manual transmission, you cannot use the Platen Glass to load documents.

  • To speak to the recipient before sending a fax, you need to connect a telephone to the machine. Refer to your setup manual for instructions on how to connect the telephone to the machine.

  1. Load documents in the ADF, then lift the handset of the telephone connected to the machine.

  2. Use the telephone to dial the recipient's fax/telephone number.

  3. Speak to the recipient.

    If you hear a high-pitched signal instead of the recipient's voice, go to step 5.

  4. Ask the recipient to set the recipient's fax machine to receive faxes.

  5. When you hear a high-pitched signal, press the Color button for color transmission, or the Black button for black & white transmission.

    Important
    • Color transmission is available only when the recipient's fax machine supports color faxing.

  6. Hang up the handset.

    Note
    • To cancel a fax transmission, press the Stop button. To cancel a fax transmission while it is in progress, press the Stop button, then follow the instructions on the LCD.

    • If documents remain in the ADF after the Stop button is pressed while scanning is in progress, Document in ADF. Press OK to eject document. is displayed on the LCD. Press the OK button and follow the instructions on the LCD to automatically feed out the remaining documents.

Sending Faxes after Dialing Twice (Fax Number Re-entry)

This function requires you to re-enter the fax/telephone number after entering the number using the Numeric buttons, so that the machine prevents you from misdialing.

  1. Press the Setup button.

  2. Select Device settings, then press the OK button.

  3. Use the UPDOWN button to select FAX settings, then press the OK button.

  4. Use the UPDOWN button to select Transmission settings, then press the OK button.

  5. Use the UPDOWN button to select Fax number re-entry, then press the OK button.

  6. Use the UPDOWN button to select ON, then press the OK button.

Follow the procedure below to send a fax with this function.

  1. Enter the fax/telephone number using the Numeric buttons, then press the OK button.

    Re-enter the number for confirmation. is displayed on the LCD.

  2. Enter the number, then press the OK button.

    If the number is not identical with the number entered first, go back to step 1.

  3. Press the Color button for color transmission, or the Black button for black & white transmission.

    Important

    • Color transmission is available only when the recipient's fax machine supports color faxing.
