Importing your Address Book

It is possible to import your address book from other applications (for example, Outlook) into the Canon Address book used by the fax driver. There are several steps involved in this process. If you try to import the Address book without editing the file first, you will receive an error about an unsupported file type.

  1. Export the Address Book from Outlook (for example) into a ".CSV" format.

  2. Open the saved file using MS Excel.

  3. Outlook's Address Book has approximately 92 columns of information. Canon's Address Book only has the following 5:
    Recipient Name
    Company
    Department
    Fax Number
    Description


  4. Delete all but the necessary columns. Outlook's Address Book also has separate columns for "First Name", "Middle Name" and "Last Name". You can delete the "Middle Name" column if you want but it is not necessary. Leave these columns alone. These will edited later.

  5. Save the edited file as a ".CSV" file.
    You might want to use a different file name to ensure you have a backup file in case you make a mistake.

  6. Open the saved .CSV file using Notepad (or a similar text based application). This is where you will finish editing the file.
    If you kept all three name columns ("First Name", "Middle Name", "Last Name"), there will be a comma in between each of the names, for example, John,Michael,Doe. If you only used first and last name, it will look like John,Doe. You need to remove the commas between the names (ex. John Michael Doe or John Doe). Be sure to do this for each line in your address book.

  7. Save the edit file as a ".CSV" file.
    You might want to use a different file name in case you have to go back and fix it later.

  8. Now that the file is in the correct format, you can import it into the Canon Address Book.
    Open the fax driver's properties window. Click on "Printing Preferences". Then click on "Import" and point it to where you saved your file.
