Managing the Address Book

Solution

Remoter UI enables you to save the data of Address Book or menu as a file into your computer (Export), or register into the machine by loading such data from the file (Import).
The Import/Export function is the exclusive feature of the Remote UI.
CAUTION
Do not turn OFF the machine until the import or export process is complete.
  • It may take a few minutes to complete the process. Do not turn OFF the machine until the process is complete, as this may result in damage to the machine.

Settings that cannot be imported or exported
  • The following settings cannot be imported or exported.

- [Scan Settings] -> [Shortcut Key Settings]
- [Settings/Registration] -> [Network Settings] -> [SNMP Settings] -> [SNMPv3 Settings] -> [User Settings]*
- [Settings/Registration] -> [Network Settings] -> [SNMP Settings] -> [SNMPv3 Settings] -> [Context Settings]*
- [Settings/Registration] -> [System Settings] -> [Department ID Management] -> [Department ID Page Total]*

Before executing the Import or Export menu
  • Make sure that no job is currently processing.
  • Press [ ] (Energy Saver) on the operation panel to cancel the sleep mode.
During the export/import process
  • Do not use the machine.
NOTE
[Import/Export] screen
  • The [Import/Export] screen is displayed only when logged on in system manager mode.
If you register new data in address book
  • The new address book overwrites the destinations currently registered.
Number of destinations that can be registered in the address book
  • Up to one hundred four destinations can be registered (up to four destinations in one-touch keys and up to one hundred destinations in coded dial codes).
A destination instance is regarded as a destination.

Saving the Address Book as a File (Export)

You can save the information of Address Book into your computer as a file.

1. Start the Remote UI and log on in System Manager Mode.

2. Click [Settings/Registration].

3. Click [Import/Export] and select [Address Book].

4. Click [Start Export].

5. Follow the onscreen instructions and specify the location where the exported address book is stored.
The address book is saved.
IMPORTANT
During the export process
  • The screen remains the same until the process is complete. Do not click [Start Export] while the hourglass or pointer is being displayed to indicate that the Remote UI is currently in the export process.

Loading the Address Book from the Saved File (Import)

You can load the address book into the machine from the saved file in the computer.

1. Start the Remote UI and log on in System Manager Mode.

2. Click [Settings/Registration].

3. Click [Import/Export] and select [Address Book].

4. Click [Import].

5. Select the file to be loaded into the machine and click [Start Import].
Click [Browse] to select the file to be imported or enter the location where the file is stored.

6. Click [OK].
