Setting Passwords for PDF Files

Set passwords for opening, editing and printing PDF files.
You can set two passwords: one for opening the document and one for editing/printing it.


Important

Internet Explorer 5.5 SP2 or later is required to use this function.


You will not be able to open/edit the document if you forget the password. Record your passwords in a safe place for future reference.


You cannot open password-protected PDF files with an application software which does not support PDF security.


When permissions password is set to PDF files, action such as printing or editing may differ from MP Navigator EX, depending on application software.


PDF files cannot be searched by a word or phrase in the file on the View & Use when you set password.


1. Scan documents into MP Navigator EX, then click Save as PDF file.
Alternatively, edit an existing file in the Creating/Editing PDF Files dialog box, then click Save Selected Pages or Save All Pages.

The Save as PDF file dialog box opens.


Reference

Passwords cannot be set when images are automatically saved after scanning, such as when scanning from the one-click mode screen or scanning using the operation panel of the machine.


2. Select the Password security settings checkbox.

The Password Security -Settings dialog box opens.


Reference

Click Set… to open the PDF Settings dialog box, then select Password Security for Security. The Password Security -Settings dialog box also opens.

3. Select the Require a password to open the document or Use a password to restrict printing and editing of the document and its security settings checkbox, then enter a password.

Important

Enter up to 32 single-byte alphanumeric characters. Passwords are case-sensitive.


Set the Caps Lock key correctly, then input passwords.


Reference

Select checkboxes to set Document Open Password and Permissions Password. You cannot use the same password for .


4. Click OK.


The Confirm Document Open Password or Confirm Permissions Password dialog box opens.

5. Re-enter the password and click OK.


The Save as PDF file dialog box returns.


Important

If you close the Save as PDF file dialog box without clicking Save, the settings in the Password Security -Settings dialog box will be deleted.


Passwords are deleted once the file is edited. Reset the passwords when saving edited files.


Reference

Click OK in PDF Settings dialog box, when you set password from PDF Settings dialog box in Step 2. Then Save as PDF file dialog box returns.


6. Click Save.


File is saved according to the settings.

Opening/Editing Password-protected PDF Files

Enter a password to open or edit/print password-protected PDF files.
Password entry method varies by operation. The following procedures are examples only.


Important

You can open, edit or print only PDF files whose passwords were set with MP Navigator EX. You cannot edit PDF files edited in other applications or whose passwords were set with other applications. Only MP Navigator EX versions 1.1 and 2.0 or later supports opening, editing and printing password-protected PDF files.


Internet Explorer 5.5 SP2 or later is required to open, edit or print password-protected PDF files.


Passwords are case-sensitive. Input them correctly.


Entering a Password to Open a Document


1. In the View & Use screen, select the PDF file you want to open and click Zoom in.
Alternatively, double-click an image.

Reference

Only the Document Open Password will be required. The Permissions Password will not be required.


Click Enter Password when Zoom in dialog box with a lock icon appears.

2. Password dialog box opens. Enter the password and click OK.

The PDF file opens in the Zoom in dialog box.


Important

To reopen the file after closing the Zoom in dialog box, re-enter the password.


Entering a Password to Edit or Print a Document (Permissions Password)


1. In the View & Use screen, select the PDF file you want to edit or print and click PDF or Print.

2. To create a PDF file or edit the file, select Creating/Editing PDF Files on the list. To print the file, click Printing Documents.


In the Password dialog box, you will be prompted to enter a password.

Important

If the Document Open Password is set as well, the Document Open Password will be required, then the Permissions Password will be required.


3. Enter the password and click OK.


The corresponding dialog box opens.


Important

If a password-protected PDF file is edited, the passwords will be deleted. Reset the passwords. See the section below for details.
