Change the paper size / print settings to print faxes from memory (MX420)

Description

If faxes are stored in memory because the paper size did not match the paper source setting, change the paper size, print the fax(es) and then delete them.

Solution

Changing the Print Settings

This machine prints received faxes to paper loaded in the machine beforehand. You can use the Operation Panel to change the paper settings for printing faxes. Make sure that the settings are appropriate for the loaded paper.

Important
  • If you are using MX880 series, load Legal-sized paper on the Rear Tray. A4 or Letter-sized paper can be fed from the Cassette.

  • If paper other than A4, Letter-, Legal-, or 8.5 x 14 inches sized paper is loaded, the received faxes are stored in machine's memory and Check the page size and press OK. is displayed on the LCD. In this case, replace the loaded paper with A4, Letter-, Legal-, or 8.5 x 14 inches sized paper, then press the OK button.

    You can also press the Stop button to close the message and print the stored documents in machine's memory later.

    Printing a Document in Machine's Memory

  • If no paper is loaded in the paper source, or paper has run out while printing is in progress, the received faxes are stored in machine's memory and There is no paper. Load paper and press OK. is displayed on the LCD. In this case, load paper in the paper source and press the OK button.

    You can also press the Stop button to close the message and print the stored documents in machine's memory later.

  • If the sender sends a document that is larger than Letter-size or Legal-size, such as 11 x 17 inches, the sender's machine may send the fax automatically reduced in size or divided, or send only a part of the original.

  1. Make sure that the machine is turned on.

  2. Press the FAX button.

    The Fax standby screen is displayed.

  3. Press the left Function button.

  4. Select FAX paper settings, then press the OK button.

    The FAX paper settings screen is displayed.

Use the UPDOWN button to select the setting item. Use the LEFTRIGHT button to change the setting.

  1. Page size

    Select the page size from A4, Letter, or Legal.

  2. Type

    • MX880 series:

      The paper type is set to Plain paper.

    • MX420 series:

      Select Plain paper.

  3. 2-sidedPrintSetting (MX880 series)

    Select two-sided printing or single-sided printing.

    Two sided printing is available for black & white faxes. Color faxes are printed on the single-side of paper regardless of this setting.

    After 2-sided is selected for 2-sidedPrintSetting, press the right Function button to specify the stapling side.

    Note
    • When the page size other than Legal is selected, you can select 2-sided for 2-sidedPrintSetting.

  4. Auto feed switch (MX880 series)

    Select whether to switch the paper source automatically.

    When ON is selected and there is no paper in the paper source where you performed printing last, the machine automatically switches to the other paper source.

    When the page size other than Legal is selected, you can select ON for Auto feed switch.

If you press the FAX button, the LCD returns to the Fax standby screen.

Printing a Document in Machine's Memory

You can print a specified document in machine's memory or print all the documents in its memory at a time.

When printing a specified document, you specify it by its transaction number. If you do not know the transaction number for your target document, print the list of documents first.

  • The memory list shows the transaction number of the unsent or unprinted fax (TX/RX NO.), transaction mode, recipient's number, and the date and time of the transaction.

Print the list of the documents following the procedure below.

1. Make sure that the machine is turned on.

2. Load paper.

3. Press the FAX button.

The Fax standby screen is displayed.

4. Press the left FunctiON button.

The Fax menu screen is displayed.

5. Select Memory reference, then press the OK button.

If no document is stored in machine's memory, There is no document in memory. is displayed. Press the OK button to return to the previous screen.




6. Use the button to select Print memory list, then press the OK button.

7. Use the button to select Yes, then press the OK button.

The list of documents stored in machine's memory is printed.

A transaction number from "0001" to "4999" indicates a document being sent. A transaction number from "5001" to "9999" indicates a document being received.




- Printing a Specified Document in Machine's Memory

Specify the document and print it following the procedure below.

1. Make sure that the machine is turned on.

2. Load paper.

3. Press the FAX button.

The Fax standby screen is displayed.

4. Press the left FunctiON button.

The Fax menu screen is displayed.

5. Select Memory reference, then press the OK button.

6. Use the button to select Print specified document, then press the OK button.

The document selection screen is displayed.

A. Date and time of transaction and fax/telephone number

B. Transaction number (TX/RX NO.)

A transaction number from "0000" to "4999" indicates a document being sent.

A transaction number from "5001" to "9999" indicates a document being received.

C. Color information

Color is displayed for color transmission/reception. Nothing is displayed for black & white transmission/reception.

7. Use the button to select whether to print only the first page of the document, then press the OK button.

The confirmation screen is displayed.

8. Use the button to select whether to print only the first page of the document, then press the OK button.

  • If you select Yes:


Only the first page of the document will be printed.

The document is still stored in machine's memory.

  • If you select No:


All pages of the document will be printed.

The screen to confirm whether to delete the printed document in machine's memory is displayed.

If you select Yes using the button and press the OK button, the printed document in machine's memory is deleted.

  • If there are no documents stored in machine's memory, There is no document that can be printed. is displayed. Press the OK button to return to the previous screen.
  • To print other documents, repeat the procedure from steps 7 and 8.





- Printing All the Documents in Machine's Memory

Print all the documents in machine's memory following the procedure below.

1. Make sure that the machine is turned on.

2. Load paper.

3. Press the FAX button.

The Fax standby screen is displayed.

4. Press the left FunctiON button.

The Fax menu screen is displayed.

5. Select Memory reference, then press the OK button.

6. Use the button to select Print all received documents, then press the OK button.

The confirmation screen is displayed.

7. Use the button to select Yes, then press the OK button.

All the documents in machine's memory will be printed.

Each time a document is printed, the screen to confirm whether to delete the printed document in machine's memory is displayed.

If you select Yes using the button and press the OK button, the printed document in machine's memory is deleted.
