Solution | Using the Machine as a Scanner The machine is equipped with four types of scanning functions, each of which converts original documents into electronic file formats such as PDF. By converting documents into electronic files, you can easily perform a variety of procedures, such as managing large-volume paper documents as electronic files, or sending documents as e-mail attachments. Scanning Documents to a Computer You can save scanned documents to your computer by using the operation panel of the machine or the included software.
Scanning Documents to USB Memory You can save scanned documents directly to a USB memory device connected to the machine.
Scanning Documents to Send as E-mails You can send a scanned document directly from the machine as an e-mail attachment.
Scanning Documents to Shared Folders You can save scanned documents to a shared folder on a computer.
Scanning Documents to a Computer This section describes how to scan documents and save them to a computer. There are a variety of scanning procedures, ranging from saving scanned documents to a computer by performing simple procedures on the operation panel, to specifying detailed scan settings by using the ScanGear MF software. To use these functions, you must perform some procedures, including installing the scanner driver and registering the machine on your computer.
Scanning Using the Operation Panel There are two procedures you can perform to save scanned data to a specified computer by using the operation panel. Scanning Using the [SCAN] Key You can scan documents by using the [ ] key. You can select the destination computer to which to save the scanned data each time you scan. You can also select the type of scan (color or black and white) and file format (PDF or JPEG). 1. Place the document(s).
2. Press [ ]. 3. Use [ ] / [ ] to select <Computer>, and press [ ].
4. Select the destination computer, and press [ ].
NOTE: If the destination computer that you want to select is not displayed, open the MF Network Scan Utility on one of the other computers that is connected to the machine, clear the check box for the machine, and try registering the computer as a destination again. 5. Select the scan type, and press [ ].
*1 Text in the document that was scanned as image is converted to text data to create a text-searchable PDF document. *2 Documents are scanned in black and white only, with no intermediate shades of gray.
IMPORTANT: You cannot scan while an MF Toolbox setup screen like the one shown below is displayed on the computer. Close the screen and proceed to step 6. 6. Press [ ].
- When placing documents in the feeder in step 1 When scanning is complete, the scanned data is saved to the computer and the destination folder opens automatically. - When placing documents on the platen glass in step 1 Important: If you selected a computer connected via WSD in step 4, you can scan only one page of a document at a time. (1) Place the next page of the document on the platen glass, select <Scan Next Original>, and press [ ].
(2) Press <Store & Finish>.
If you want to cancel scanning, press <Cancel> <Yes> [ ]. NOTE: Default save location
Scanning Using the [SCAN > PC] Key You can use the [ ] or [ ] key to scan documents. The scanned data is saved to the destination computer that you have registered for the selected key. The type of scan (color or black and white) and file format (PDF or JPEG) have also been registered for the key, so you can scan with the simple press of a key. 1. Place the document(s).
2. Press [ ] or [ ].
IMPORTANT: You cannot scan while an MF Toolbox setup screen like the one shown below is displayed on the computer. Scanning Using MF Toolbox MF Toolbox is an application included with the machine that enables you to scan documents by using a personal computer. You can use MF Toolbox to save scanned images to a folder on the computer, forward them to a specified application, or attach them to an e-mail message. - From the Operation Panel 1. Place the document(s).
2. Press [ ]. 3. Use [ ] / [ ] to select <Remote Scanner>, and press [ ].
- From a Computer 4. Double-click the [Canon MF Toolbox] icon on the desktop.
5. Click the icon for the type of scan you want to perform.
NOTE: Using MF Toolbox with other applications If you have specified an application to receive a scanned image, that application will automatically start and display the scanned image after you finish scanning. You can then use that application to edit and save the scanned image. If you select [Mail], the specified e-mail application starts and the scanned image is attached to a new e-mail message. 6. Specify the scan settings as necessary.
NOTE: Specifying detailed scan setting using ScanGear MF If you select the [Display the Scanner Driver] check box, ScanGear MF starts after clicking [Start] in step 7. ScanGear MF is a scanner driver included with the machine that enables you to specify detailed scan settings. 7. Click [Start].
- When placing documents in the feeder in step 1 Depending on the MF Toolbox settings, the scanned data is either saved to the specified folder or forwarded to the specified application when scanning is complete. - When placing documents on the platen glass in step 1 You can continue scanning documents if the dialog box shown below is displayed. (1) Place the next page of the document on the platen glass, and click [Next].
(2) Click [Finish].
Click [Cancel] to stop scanning. Previewing Scanned Images Before Specifying File Format and Saving Destination You can preview the scanned images as thumbnails, and then specify the file format and save destination. This procedure is not available when [OCR] is selected for the type of scan. 1. Click the icon for the type of scan you want to perform.
2. Select the [Confirmation of the Scanned Image and Exif Settings] check box.
3. Click [Start].
4. Specify the file format and saving destination.
(a) [Save as Type] Select the file format such as PDF or JPEG. The available file formats vary depending on the type of scan selected in step 1. NOTE: Adding comments to JPEG images If you select [JPEG/Exif], you can add information such as the date or comments to JPEG images when saving them. Select the scanned image, click [Exif Settings], and enter your comments on the Exif setting screen. (b) [Save Scanned Image to] Specify where to save the scanned image. If you select the [Save Pictures to a Subfolder with Current Date] check box, a folder named with the scanning date is created in the specified location, and the image is saved to this folder. NOTE: If you select [PDF (Add Page)] for [Save as Type] (a), [Create PDF File Based On] is displayed instead of [Save Scanned Image to]. Specify an existing PDF file to which to add the newly scanned PDF file. 5. Click [Save].
Creating One PDF File from Multiple Documents You can create one PDF file from multiple pages of documents. This procedure is not available when [OCR] is selected for the type of scan. 1. Click the icon for the type of scan you want to perform. Click the [Mail], [Save], or [PDF] icon.
2. Select [Multiple Pages or [PDF]] for [Save as Type].
3. Click [Start].
- When placing documents in the feeder Depending on the MF Toolbox settings, the PDF file is either saved to the specified folder or forwarded to the specified application when scanning is complete. - When placing documents on the platen glass The dialog box shown below is displayed. (1) Place the next page of the document on the platen glass, and click [Next].
(2) Click [Finish].
To cancel scanning, click [Cancel]. Scanning Using an Application You can perform scanning operations by using a word-processing or image-processing application.
- From the Operation Panel 1. Place the document(s).
IMPORTANT: Applications that do not support scanning multiple documents Place only one document into the feeder when scanning from applications such as Paint in Windows XP/Vista/7/8, or Word 2000 (2002), Excel 2000 (2002), and PowerPoint 2000 (2002) in Microsoft Office 2000 (XP). Otherwise, problems such as those listed below may occur.
2. Press [ ]. 3. Use [ ] / [ ] to select <Remote Scanner>, and press [ ].
- From a Computer 4. From the application, select the command that starts the scanning.
5. Select the scanner driver for the machine.
6. Specify the scan settings as necessary. 7. Click [Scan].
