Sharing the printer and using it on a network

If computers are connected via a network, a printer connected to one computer can be shared with other computers on that network. To share a printer on the network, configure the printer as a Shared Printer on the print server (the computer to which the machine is connected), and install the printer driver on each client (computers other than the print server). It is not necessary for all the computers on the network to have the same operating system. However, note that with some combinations of operating systems the installation method may differ and limitations may apply.

  • Printers cannot be shared or printed to when Canon printer drivers are used in conjunction with the printer drivers included with Windows (those produced by Microsoft). Use Canon printer drivers on the print server and client computers.
  • Install the printer drivers that accompany this machine on the print server and client computer following the procedures appropriate to the operating system.
  • If an error occurs when printing a document from a client to a shared printer, an error message is displayed on the client and the server machines. Status messages are only displayed on the client.

Configuring the print server

To use the printer over a network, configure it as a Shared Printer on the print server computer.

  1. Install the printer driver on the print server computer. Confirm that you can print to the machine before configuring it as a Shared Printer.

  2. On the Windows taskbar, click the 'Start' button, then click 'Control Panel ' 'Printers and Other Hardware' 'Printers and Faxes'. (Non-Windows XP: Click the 'Start' button, then click 'Settings' 'Printers'.)

  3. Right-click the icon of the printer you want to share, then click 'Sharing' in the menu that appears

  4. Select 'Share this printer' or 'Shared as' on the Sharing tab, optionally specify a share name, then click 'OK'. When making a Windows 98/Me computer a print server, click 'File and Print Sharing' under Network in the Control Panel, then make sure 'I want to be able to allow others to print to my printer(s)' is selected.

Configuring clients

Configure the client computers after configuring the print server. The method may differ for each Windows version. The printer driver cannot be installed if an older version of the MultiPASS Suite is installed on the client. In this case, uninstall the older version beforehand.

  • Windows XP clients
    1. Insert the Setup CD-ROM into your computer.

    2. On the client computer, click 'Start' on the Windows taskbar, then click 'Control Panel' 'Printers and Other Hardware' 'Printers and Faxes'.

    3. Click 'Add a printer'. The Add Printer Wizard starts.

    4. Click 'Next' .

    5. Select 'Local printer attached to this printer' then click 'Next' . Clear the Automatically detect and install my Plug and Play printer checkbox.

    6. Make sure Use the following port is selected, then click 'Next'. It does not matter which port you choose.

    7. Click 'Have Disk'.

    8. Click 'Browse' in the Install From Disk dialog box, then specify the INF file. The INF file is located on the Setup CD-ROM in the following location:

      \MP\English\Win2KXP\Setup\Drv2KXP\mp060pra.inf

    9. Click 'OK'. The Install From Disk dialog box closes.

    10. Select the printer to use, then click 'Next' .

    11. Fill in Printer name if necessary, then click 'Next' . If Do you want to use this printer as the default printer? is displayed, click 'No'.

    12. Select 'Do not share this printer', then click 'Next' .

    13. Select 'No' for the test print, then click 'Next' .

    14. Click 'Finish' . An icon for the machine's printer is created in the Printers and Faxes window.

    15. Click 'Start' on the Windows taskbar, then click 'My Network Places'.

    16. Right-click the icon of the printer that you configured as a Shared Printer on the print server, then click 'Connect' in the menu that appears. An icon for the Shared Printer is created in the Printers and Faxes window. It does not matter if you delete the created printer icon created in step 14 since it is not required

  • Windows 2000 clients
    1. Insert the Setup CD-ROM into your computer.

    2. On the client computer, click 'Start' on the Windows taskbar, then click 'Settings', 'Printers'.

    3. Double-click the 'Add a printer' icon. The Add Printer Wizard starts.

    4. Click 'Next' .

    5. Select 'Local printer', then click 'Next' . Clear the Automatically detect and install my Plug and Play printer checkbox.

    6. Make sure Use the following port is selected, then click 'Next'. It does not matter which port you choose.

    7. Click 'Have Disk'.

    8. Click 'Browse' in the Install From Disk dialog box, then specify the INF file. The INF file is located on the Setup CD-ROM in the following location:

    12. Select 'Do not share this printer', then click 'Next' .

    13. Select 'No' for the test print, then click 'Next' .

    14. Click 'Finish' . An icon for the machine's printer is created in the Printers window.

    15. Click 'My Network Places' on the Windows desktop

    16. Right-click the icon of the printer that you configured as a Shared Printer on the print server, then click 'Connect' in the menu that appears. An icon for the Shared Printer is created in the Printers window. It does not matter if you delete the created printer icon created in step 14 since it is not required.

  • Windows 98/Me clients
    1. On the client computer, click 'Start' on the Windows taskbar, then click 'Settings', 'Printers'.

    2. Double-click the 'Add a printer' icon. The Add Printer Wizard starts.

    3. Click 'Next' .

    4. Select 'Local printer', then click 'Next' .

    5. Click 'Have Disk'.

    6. Click 'Browse' in the Install From Disk dialog box, then specify the INF file. The INF file is located on the Setup CD-ROM in the following location:

      \MP\English\Win98ME\Setup\Drv98ME\mp060pra.inf

    7. Click 'OK'. The Install From Disk dialog box closes.

    8. Select the printer to use, then click 'Next' .

    9. Click 'Next'. It does not matter which port you choose.

    10. Fill in Printer name if necessary, then click 'Finish' . The message Do you want your Windows-based program to use this printer as the default printer? might be displayed. To make the printer your default printer, click 'Yes'.

    11. Right-click the icon of the installed printer, then click Properties in the menu that appears.

    12. Click the 'Details' tab, then click 'Add Port'.

    13. Select 'Network', then click 'Browse'.

    14. From Browse for Printer, select the printer that you configured as a Shared Printer on the print server, then click 'OK'. The printer icon on the Printers screen changes to a network printer icon.

Network limitations

  • If the print server is Windows 2000/XP, the print-end notification message might be displayed when the printer is shared on a network. To stop this message from being displayed, open the print server's Printers and Faxes (Windows 2000: Printers) window, select 'Server Properties' from the File menu, clear the Notify when remote documents are printed checkbox on the Advanced tab, then restart the computer.
  • If the print server is Windows 98/Me, warning messages might be displayed, printing might suspend temporarily, and printing might not be possible due to bi-directional communication with the printer not being performed properly. In this case, open the printer driver properties on the print server, then under Spool Settings on the Details tab, select 'Disable bi-directional support for this printer'.
